Constitution

The Constitution is the set of rules under which the club is governed, and is in compliance with the rules of University of Oxford Sports Federation. The Committee have power to make regulations and bylaws in order to implement the paragraphs of the Constitution, and to settle any disputed points not otherwise provided for in this Constitution. Please contact secretary@ouwc.org if you have any motions, comments or questions. Code of Practice

Trip Leader Safety Document

The Club’s Committee recognises that safety on trips is a priority. The Club’s Trip Leader Safety Document is incorporated into the Code of Practice. It ensures that for every Club Trip to a specific location the Trip Leaders have a sufficient level of experience to lead the trip in a safe manner. It also specifies the responsibilities of the committee in the selection of Trip Leaders and the responsibilities of Trip Leaders. Every Trip Leader is given a copy and must sign each term’s Trip Leaders’ Agreement to say that he or she has read it and will adhere to it. Please contact trip.safety@ouwc.org if you have any comments or questions. A simple majority in a secret ballot vote at a TGM is required to amend the Trip Leader Safety Document. The version presented here is valid from Michalemas term 2023 onwards.

Risk Assessment

The Trip and Safety Coordinator updates the Club’s Risk Assessment on an annual basis. Every Trip Leader is given a copy and must sign each term’s Trip Leaders’ Agreement to say that he or she has read it and will adhere to it. Safety Policy

The club is totally committed to the safety of its members. For the current academic year, and all future academic years, the clubs’ activities operate in accordance with the Safety Policy, the clubs Risk Assessment (above), the University Regulations for the Activities and Conduct of Student Members and the guidelines of any National Governing Body that the club is affiliated to. Feedback and Complaint Procedures

The Club is committed to eliminate misconduct and harassments. If you or your friends believes that a Club member or members have failed to act in accordance with the Club’s Code of Conduct, or the University of Oxford’s Policy and Procedure on Harassment, or the Trip Leader Safety Document, or have acted in breach of their obligations under the Club Constitution, during or in connection with Club activities. Please lodge a formal report by following the Complaints Procedure. Please contact secretary@ouwc.org if you have any comments or questions regarding the procedure.
